Terms of supply

Terms of supply · effective 18 September 2026. These terms replace every earlier version and apply to every visit and every restock from this date.

In brief

  • BlackKoi Supply sells professional tattoo materials to studios and artists, for professional use. Buying is open, and the Engine works from a studio's own restocks. Verifying a studio is optional.
  • A restock becomes binding when we confirm it by email. Prices are in US dollars and are shown on every spec sheet.
  • Sterile materials are single-use. Check seals, lot numbers and expiry on arrival, and keep lot numbers with your records.
  • Our liability is limited to the price of the restock concerned. Lead time, shipping, returns and privacy each have their own policy, linked at the end.

1. The words we use

These terms and the four policies that sit with them use the same words throughout. They mean:

  • Studio · the professional tattoo business that buys from this site, together with the owners, artists and staff it allows to use its account. The studio is our customer.
  • Access · a studio's account on this site, identified by the studio email address. Verification is optional: a studio asks for it on the Verify page.
  • Materials · the products we supply: cartridges, needles, barrier materials, aftercare, machines and the other items in our systems.
  • System · a family of materials, as numbered on this site.
  • Spec sheet · the page that describes one material: specification, box quantity, lot, lead time and price.
  • Restock · an order placed through this site. The restock number is the order number in your confirmation email.
  • Lot · the production batch printed on every box. The lot number is how a box is traced.
  • The Engine · the consumption estimator on this site. It proposes; it never orders.
  • We, us, BlackKoi Supply · the seller, reachable at contact@blackkoisupply.com.

2. Who these terms apply to

These terms govern every visit to this site and every restock. By placing a restock you accept them on behalf of your studio and confirm that you are authorised to do so. If you do not agree with them, do not place a restock.

They are business terms. We sell to professional studios, not to consumers, and rules written to protect private purchases do not apply to a restock except where the law says otherwise.

3. Who we supply

We supply professional tattoo studios and licensed tattoo artists, for professional use in premises that meet the hygiene and licensing rules that apply to them. To buy, a studio must:

  • operate as a business, with a name, a city and a working studio email address;
  • hold whatever licence, registration or permit its state, county or city requires for tattooing;
  • be represented by a person aged 18 or over who is authorised to buy on its behalf.

Verification is optional. A studio that asks for it is checked by a person; studio pricing and terms, where we offer them, are for verified studios. Whether or not a studio is verified, we may ask for evidence of licensing or premises before confirming a restock, decline a restock, or close an account, at our discretion and without having to give a reason. Materials are sold for professional use and must not be resold, given or lent to anyone who is not a professional tattooist.

4. Access and security

Access belongs to the studio, not to an individual. Sign-in is by a one-time code sent to the studio email address; there is no password. The studio is responsible for keeping that mailbox under its control, for everyone it lets sign in, and for every restock placed through its access. Tell us at once if you believe the studio email has been compromised; we suspend access while it is resolved.

Prices and spec sheets are public. The Engine is part of every studio account: it reads the studio's own restocks and proposes; it never orders.

5. Restocks: how a contract is formed

  1. The spec sheets and the restock form are an invitation to order, not an offer.
  2. Placing a restock is the studio's offer to buy the materials listed in it, at the prices shown at checkout.
  3. A contract is formed when we send the confirmation email for that restock. Until then we may decline a restock, in whole or in part, for stock, verification, compliance or pricing reasons. Anything already paid for a declined part is refunded in full.
  4. The confirmation email, these terms and the policies listed at the end make up the whole agreement for that restock.

A restock may be cancelled free of charge until it is dispatched. Once dispatched, the Returns & recalls policy applies.

6. Prices, taxes and payment

  • Prices are set in US dollars, per box, and are shown on every spec sheet. Studios in Canada and Europe see and pay prices in Canadian dollars or euros, converted from the US dollar list and rounded; the price shown at checkout is the price that applies. Quantity breaks, where offered, apply per material and per restock.
  • Prices exclude sales tax and shipping unless a spec sheet says otherwise. In the United States, sales tax is added at checkout where we are required to collect it; a studio holding a resale or exemption certificate may send it to us, and once accepted it applies to later restocks.
  • Restocks delivered outside the United States are shipped Delivered at Place (DAP). Import duties, import VAT or GST/HST and customs brokerage are assessed by the destination country, collected by the carrier and paid by the studio on delivery; they are not part of our prices or shipping charges, and we do not charge local VAT at checkout.
  • Shipping is charged as shown at checkout and described in the Lead time & shipping policy.
  • Payment is taken in full at checkout through the payment methods offered there. We do not extend credit terms unless we have agreed them with your studio in writing.
  • If a price on the site is obviously wrong, we may correct it before confirming the restock. The studio may then cancel that restock at no cost.

7. Lead time, delivery, risk and title

Lead times, cut-off times, shipping services and rates are set out in the Lead time & shipping policy. They are estimates made in good faith, not guarantees, and we are not liable for delays caused by carriers, weather or events outside our control.

Risk in the materials, meaning responsibility for their loss or damage, passes to the studio when the carrier delivers to the address on the restock. Title, meaning ownership, passes when we have received payment in full.

8. Using the materials

Our materials are professional supplies, and using them correctly is the studio's responsibility. In particular:

  • Single use. Sterile materials are for a single procedure on a single client. Never re-sterilise, reprocess or reuse them.
  • Check before use. Inspect every box on arrival and every unit before use: the seal must be intact, the expiry date must not have passed, and the lot number must match the dispatch note. Set aside any unit that fails a check and contact us.
  • Keep the lot. Record the lot numbers you use against your client records where your local rules require it, and keep them for the period those rules set. This is what makes a recall traceable to the client.
  • Follow the spec sheet. Compatibility notes on a spec sheet, for example which machines a cartridge fits, are part of the material's description. Use outside those notes is at the studio's risk.
  • Your practice, your compliance. Nothing on this site is medical, legal or regulatory advice. The studio remains responsible for its hygiene protocol, client consent and aftercare, waste disposal, and compliance with federal, state and local law.

9. Traceability and recalls

Every box we ship is recorded against the restock and the studio that received it. If a lot is recalled, by us, by a manufacturer or by an authority, we contact every studio that received it, say what to do with the affected units, replace them at no cost and collect what is left. The studio agrees to stop using an affected lot as soon as it is notified and to help reach any client who may be affected, within the limits of its own confidentiality obligations. 10. Returns, defects and refunds

What may come back, within what time, and how a credit or refund is paid is governed by the Returns & recalls policy. In summary: sealed, undamaged boxes within 14 days of delivery; defective, damaged or wrong materials reported within 7 days of delivery; opened sterile materials cannot be returned.

11. The Engine

The Engine estimates a studio's consumption from its restock history and the settings the studio gives it, and proposes a restock. It is an aid, not a commitment: it never places an order on its own, its estimates are estimates, and the studio decides what to order. We accept no liability for a restock that proves too large or too small because an estimate was followed.

12. Warranty

We warrant that, on delivery, the materials match their spec sheet, and that sterile materials are sterile inside an intact seal until the expiry date printed on the box, provided the box is stored as its packaging directs. If a material does not meet this warranty, the studio's remedy is replacement or credit, as set out in the Returns & recalls policy.

To the fullest extent the law allows, this is the only warranty we give. We exclude every other warranty, express or implied, including any implied warranty of merchantability or of fitness for a particular purpose.

13. Limitation of liability

To the fullest extent the law allows:

  • our total liability to a studio for any restock, however it arises, is limited to the price paid for that restock;
  • we are not liable for indirect or consequential loss, including lost sessions, lost income, lost clients, damage to reputation, or the cost of obtaining substitute materials;
  • we are not liable for loss caused by use of a material after its expiry, with a broken seal, outside its spec sheet, or contrary to section 8.

Nothing in these terms limits or excludes liability for death or personal injury caused by our negligence, for fraud, or for anything else that the law does not allow to be limited.

14. Indemnity

The studio agrees to indemnify BlackKoi Supply against claims, losses and costs arising from the studio's own tattooing practice, from use of materials contrary to section 8, or from resale or supply of materials to anyone outside the studio.

15. Intellectual property

The site, its texts and images, the BlackKoi name and mark, the numbering and naming of the systems, and the Engine belong to BlackKoi Supply or its licensors. A studio may use our name and product descriptions to identify the materials it uses, and for nothing else without our written permission.

16. Suspending or ending access

A studio may close its access at any time by emailing us. We may suspend or withdraw access if these terms are broken, if verification lapses or cannot be renewed, if materials are resold or used outside professional practice, or if a payment is reversed. Restocks confirmed before access ends are still fulfilled and still governed by these terms. Sections 8, 9 and 12 to 17 continue to apply after access ends.

17. Governing law and disputes

These terms and every restock are governed by the laws of the United States and of the state in which BlackKoi Supply is registered, without regard to conflict-of-law rules. If something goes wrong, write to us first: most issues are settled by email within a few days. A dispute that cannot be settled that way is brought in the state or federal courts of that state, and both parties accept their jurisdiction.

18. General

  • Changes. We may update these terms and the policies. The effective date at the top changes when we do, and studios with an account are told by email. A restock keeps the terms in force when it was confirmed.
  • Severability. If a clause is found unenforceable, the rest stays in force.
  • No waiver. Not enforcing a clause on one occasion does not waive it for later.
  • Assignment. A studio may not transfer its access or a restock to another business without our consent.
  • Notices. We write to the studio email address; the studio writes to contact@blackkoisupply.com.
